What is this role on a high level?
We want you to be the newest member of our Administration team. In this Senior Project Coordinator role, you will liaise with the Studio (team) Leads to manage and plan all project deadlines, understanding the deliverable requirements and flagging any potential clashes. You will be responsible for managing the day-to-day workload across the Project Coordinator team to ensure all deadlines are covered. In addition to this, a key part of the role is to track and follow up on the management of contractual documents and carrying out regular internal QEMS audits. You will report to Head of Administration and work closely with the BIM team. The role also involves assisting the Studio Leads by compiling the relevant data for team resources and utilisation rates on a monthly basis. You will be required to be highly organised whilst working on multiple deadlines in a fast-paced team.

What Your Day-to-day Looks Like
We are asked to carry out administrative tasks to support projects, managing our time effectively and bringing together multiple documents to meet our project deadlines. We promise to keep you challenged and never bored. Here are some regular tasks you may encounter:

  • Oversight of all studios to ensure that all projects have a dedicated Project Coordinator to download project data (e.g. models, drawings, reports) to the system and distribute to the project team.
  • Assist project managers with maintaining the project deliverable tracker and flagging any potential clashes.
  • Being proactive and liaising with Revit/CAD teams for project issues, setting internal delivery deadlines and coordinating outgoing information.
  • Preparing for project issues including creating CAD sheets, CAD outsourcing, drawing registers, title blocks etc.
  • Ensuring dedicated Project Coordinators are commenting/returning RFI’s, drawings, tech subs etc and maintaining internal trackers.
  • Meeting minutes/note taking at internal meetings as required.
  • In the run up to a deadline, assist the Project Coordinators to monitor progress of deliverables/check status (i.e. manage/lead the process).
  • Supporting Project Coordinators in creating and amending reports in InDesign, formatting schedules and specifications and uploading documents to A10 bigfilebox or project CDE for issue when required.
  • Internal quality and formatting checks of documentation being issued.
  • Carry out monthly QEMS audits and report back to QEMS Director.
  • Liaison with Atelier Ten’s Legal Counsel to ensure contracts for new projects are reviewed and signed by Directors in a timely manner and track this on the Contracts Tracker.
  • Assist Studio Leads in team resources and prepare data for monthly reporting.
  • Act as a buffer resource to provide additional cover during busy periods, holiday cover as well as other ad-hoc administrative tasks.

We are looking for someone who is curious, proactive, self-motivated with an appreciation and willingness to learn on multiple projects. And if we’re not pushing our luck, you ideally will possess:

  • Previous experience as a Project Coordinator or Document Controller
  • Experience working with all Microsoft programmes (Word, Excel, PowerPoint, Outlook)
  • Experience using Adobe InDesign (preferred but not essential)
  • Strong attention to detail and organisation skills, including being able to manage multiple tasks and deadlines
